Working closely with our core team, admin support and two freelance event producers, you’ll ensure the convening is executed with care, efficiency, and deep alignment with our values.

      • Create and maintain detailed project plans, timelines, and task lists

      • Track progress and hold team members accountable for deadlines

      • Lead on risk management, contingency planning, and onsite logistics

      • Recruit, manage and support two event producers to deliver their responsibilities

      • Ensuring timely requests and delegation to KIN team where necessary

    • Budget & Resource Management

      • Working closely with Operations Lead and Exec Director, you will track and report on the event budget, ensuring alignment with agreed priorities.

      • Working closely with Ops Admin, you will ensure the smooth coordination of bookings, payments, contracts and supplier arrangements

      • Work with the Ops lead to proactively ensure sound financial governance and risk mitigation, proactively flagging issues.

    • Team Coordination & Collaboration

      • Liaise regularly with the Operations, Programmes, and Communications leads

      • Ensure smooth internal coordination across workstreams (logistics, content, tech, etc.)

      • Set up and maintain systems for good communication and documentation

    • Facilitator & Speaker Support

      • Ensure facilitators and speakers are well briefed and resourced

      • Arrange prep sessions or onboarding if required

      • Be the go-to point of contact for their logistical and practical needs

    • Relationship & Community Care

      • Communicate with warmth, clarity, and professionalism with all stakeholders

      • Support the creation of a welcoming and inclusive experience for attendees

      • Uphold safeguarding and accessibility practices throughout the planning process

    • Reflection & Evaluation

      • Gather and collate feedback from facilitators, attendees, and team members

      • Contribute to post-event reflection and documentation

We’re looking for someone with a blend of organisational rigour and community-centred care:

    • Proven project management experience, ideally in multi-day events, community organising, or similar environments

    • Strong skills in timeline planning, budgeting, coordination, and logistics

    • Experience working with or within Black-led, social justice or liberation-centred organisations
